Run a flying minutes session
To produce a board record, open the Flying minutes area, select Start new session, choose your source documents, draft and review the matters, and submit. A session keeps your work as you go, so you can do it in one sitting or over several.
The sessions table
The Flying minutes area lists your team's sessions in a Sessions table, one row per session. Table view and Cards view switch how the list looks, and Hide completed sessions takes finished sessions out of it.
Each row shows:
- Session — the session's name, with a pencil beside it to rename it in place.
- Documents considered — the source documents you selected, or "—" until you select any.
- Created — when the session was started.
- Status — where the session has got to.
- Next action — the one step to take next.
- Actions — the controls that stay available whatever state the session is in.
Everything you can do sits in the Next action chip or the Actions cell. Selecting the row itself does nothing.
Status and Next action
Status reports the current state: Draft, Drafting…, In review, Generating…, Complete, or Error. It shows amber while work is under way.
Next action is a single chip carrying the one step to take next; select it to take that step. Across the life of a session the chip runs:
Select documents → Draft matters → Review & submit → Download board record
A session that has failed offers Retry instead. While Tiro Pro drafts or generates, no chip appears: there is nothing for you to do until it finishes.
Both keep up with the work on their own. You do not need to reload the page.
Actions
- Select documents — choose or change the session's source documents.
- Edit minutes — open the session editor. It stays unavailable until the session has at least one source document ("Select at least one source document first").
- Delete — remove the session, after a confirmation.
Only the person who started a session can rename it, select its documents, or delete it.
Start a session
- Select Start new session. A window titled Start new flying minutes session opens.
- Session name comes pre-filled with a dated default — for example, "Board Minutes 23 May 2026". Keep it or type your own. The helper text reads "Pick a name that will help you recognise this session later."
- Choose a Template.
- Select Create.
The window closes and the session appears in the Sessions table straight away, with its Next action reading Select documents.
To close the window without starting anything, select Cancel or the close button. No session is created.
If your team has no template
When your team has no registered templates, the Template list is empty, a warning says so, and Create stays unavailable. Create a board-record template in the Templates area first, then start the session again. See About templates.
Select the source documents
Select the Select documents chip, or Select documents in the row's Actions cell. The document picker opens, titled Select documents considered by board.
The picker lists your team's documents that have finished processing. Narrow the list with the title filter, or by Tags, Type, Owner, Collections, and Created. Sort it by any of its sortable columns.
You cannot upload from the picker. Upload your source documents first — see Upload documents. Until you do, the picker reads "No documents in this team yet — upload one from the Documents tab to use it here."
A tick box at the foot of the picker offers Include summary of key terms as annexure. Tick it to append a key-terms summary to the board record.
Select Use selected documents to confirm. The row's Documents considered column fills in, Next action advances to Draft matters, and Edit minutes becomes available.
Draft the matters
- Select the Draft matters chip, or Edit minutes, to open the session editor.
- Select Draft matters with AI.
Tiro Pro then reads the source documents you selected and drafts the matters section. While it works, Status reads Drafting…, the Next action chip disappears, and the form is locked: "The AI is analysing the selected documents and drafting the matters section. This form will unlock when that process finishes."
When it finishes, Status becomes In review and Next action becomes Review & submit. The form unlocks with the drafted matters filled in and showing in the preview. The button now reads Re-draft matters with AI; select it to draft the matters again. If the drafting fails, Status reports the failure, no matter is drafted, and Retry appears in Next action.
Drafting with AI is optional. You can open the editor at any time once a source document is selected, and fill in and submit a session entirely by hand.
Review and edit the draft
The session editor opens as a split screen, headed "Review Board Record —" and the session's name:
- Left — a live preview of the board record, updated with every edit. It shows what the finished document will say.
- Right — the form. It groups its questions into sections, with a stepper to move between them and a People & entities control.
It is the same split-screen form you use to generate a document from a template.
Your edits save as you make them
Every edit saves on its own. There is no save button to remember. Close the editor and open the session again — from its Next action chip or Edit minutes — and it comes back at the point you left it, form and preview both.
An open session has an address of its own, so you can return to it directly.
Matters
Each matters under consideration gets its own entry. Add a matter and a new entry appears, with fields for its title, its narrative, its resolutions, and — where you asked for one — its summary annexure. Remove a matter and the entry disappears.
See where an answer lands
Focus or edit a field, and the preview highlights the values it produces, so you can see where each answer appears in the document.
People and entities
People & entities holds the people and companies the board record refers to.
If the person you remove is listed among a company's directors, a window titled Remove person asks you to confirm first. It names every directors list the person currently sits on, and warns that removing them will clear those assignments. Confirm, and the person comes off those lists.
A company left with no directors will not pass the checks at the next step, so assign directors to every company before you submit.
Generate the board record
Select Submit in the editor.
Tiro Pro checks your answers first. If anything required is missing, nothing is generated and the session's status does not change. The checks cover matter titles, the "It is noted that:" narrative, company names, ACNs, and companies left without directors.
A message reads "Please complete the required fields before generating." The form then takes you to the first section with a problem, and marks the fields that need attention ("Matter title is required", "Directors is required"). Put them right and select Submit again.
When the answers are complete, the editor closes and the row's Status reads Generating…, with no Next action chip.
When the board record is ready, Status becomes Complete and Next action becomes Download board record. Select that chip to download the Word document.
Rename or delete a session
- Rename — select the pencil beside the name in the Session column, and type a new one.
- Delete — select Delete in the row's Actions cell, and confirm.
Both are limited to the person who started the session.
